wop. field notes
Hey {{first_name|there}},
Imagine opening your renewal tracker and seeing that a contract expires in three months. Plenty of time to speak to the business, check whether they still need it, and work out what you want to negotiate.
Then you open the contract and find a 120-day notice period.
You’ve already missed the deadline to stop it renewing - even though your tracker made it look like you were ahead of things.
This is why I’d check what your renewal reminders are actually reminding you about. The expiry date is useful, but you need the notice deadline, the person responsible for the decision, and enough time for them to do the review.
And that review needs more than “are we happy with the supplier?” You want to know whether people are using what you’re paying for, whether the supplier is delivering, and whether the requirement has changed since you signed.
Pick one upcoming renewal this week and check the signed agreement, including any amendments. Confirm when notice is due, how it needs to be given, and who’s making the call.
It’s a small job that can save you a fairly painful conversation later - particularly if the business thought cancelling was still an option.

The wop. auto-renewal guide walks through what to record, who should own the review, and how to make the decision before your options narrow.
If you’re looking for technology to help, the contract management category guide explains the different approaches.

If you’ve got a renewal coming up, the member renewal pack gives you three templates - a renewal record, an evidence request, and a decision brief - plus a worked example and six prompts to help you prepare the recommendation.
Something to watch.
We put a lot of effort into getting contracts signed, but someone still has to manage the obligations, check performance, and prepare for the next decision. In this video, I walk through the work before and after signature, including renewal and termination.
