wop. field notes
Hey {{first_name|there}},
“We need a new system” is usually the start of a fairly long conversation, because it doesn’t tell you much about what’s going wrong.
Maybe requests keep getting lost, nobody knows who needs to approve them, or the team is copying the same information into three different places. A new system might help, but you need to understand the problem before deciding what to buy.
Otherwise, you can spend weeks collecting requirements that describe everyone’s favourite features, without agreeing what needs to improve.
Take “we need a supplier portal”. What do you need suppliers to do there - submit documents, update their details, check payment status, or all three? Who’s handling that work today, and where does it get stuck?
Those answers give you something useful to take to the market. They also help you check whether the supplier’s proposed solution will actually work for the people using it.
Before adding another requirement, ask: “What problem does this solve, and how will we know it’s working?”
If nobody can answer, park it until they can. You’ve probably got enough requirements already.
this is why I'm also super happy that this newsletter is sponsored by Lovable, because you can actually go and build solutions to your problems.
I would urge every single one of you just to go and make a free account right now and go build something, whether it's a procurement dashboard overall. It can be fictitious, right? Just use fictitious data that kind of closely aligns to what you're doing. Understand what works. Maybe build an RFP tool that you could then deploy in-house.
I'm not saying this is going to be perfect with the free Lovable and a million and one other issues that come when you start building software, but it will get you thinking about what you may want to go out to market for from specialist providers. Check out Lovable today.
You know the problem. Now build the fix.
You've spent years close to a broken industry or process. You know exactly what would fix it. But you’ve never had the time or resources to make it happen.
With Lovable, your expertise is all you need. Describe the solution to your problem — a website, a dashboard, an internal tool — and get professional-grade software back. You make every call on how it works, because you're the one who knows what it needs to do.
Start today and take $5 off your first month.
Discount of $5 applies to first month of any paid plan. You need to sign up via this webpage in order to claim the discount. The discount applies to new and returning users without an active paid plan. Terms apply.
Get clearer before going to market.
The wop. procurement requirements guide helps you describe the outcome, scope, and constraints, without prescribing every detail of the supplier’s solution.
Then use the RFI, RFQ, and RFP guide to choose how to approach the market. You might need to learn what’s available before asking anyone for a proposal.
Go deeper with wop. membership.
Once you’ve written the requirement, you need a way to check whether the software meets it. The member demo-evaluation guide helps you turn that requirement into a test scenario, record what you see, and follow up on unanswered questions - with working templates and six prompts.
Something to watch.
In this video, I explain how the procurement process fits together, including when to use an RFI, RFQ, or RFP. The sourcing-document section starts at 7:37, if that’s the bit you need today.
